How to Wear Your Graduation Attire
- You will collect the academic gown with the mortar board and the hood.
- The gown will sit squarely on your shoulders, with the sleeves falling between your elbow and wrist.
- To ensure the hood stays firmly, secure the hood with safety pins on both shoulders. Use the small loop inside the hood to attach it to a shirt button or jacket button.
- The mortar board should sit flat on your head, with the shorter peak facing forward and the longer peak goes to the back.
- You may like to pin the mortarboard with hairpins.
Dress Code
Standards of Dress for Graduates
To reflect the significance of the 26th RUMC Conferring Ceremony, all attendees are requested to observe a Formal dress code. Suitable options include Professional Business Attire or Full Traditional Dress. We kindly ask that graduates ensure their choice of clothing is compatible with the wearing of academic regalia to ensure a seamless and dignified appearance throughout the proceedings.
Rehearsal
Essential Rehearsal for Graduating Students
There will be a rehearsal on Sunday, 7 June 2026 at the Grand Ballroom, St Giles Wembley, Penang, starting at 10.00am. It is important for you to attend, as there are some protocols you should be familiar with. The rehearsal is to ensure that you know what to do during the ceremony and your seating arrangement.

Official Procedures for Conferring Ceremony
The Conferring Ceremony marks the highlight of your medical journey. Kindly observe the following guidelines to ensure the event runs smoothly.
- There will be a professional photographer taking the photo of you with the Chancellor of NUI.
- Guests’ seating is first-come, first-seated.
- There are designated seating areas for Academic Faculty, Graduates and Guests.
- Mobile phones should be switched off or placed on silent mode.
- Children below 12 years old are strictly not allowed into the ceremony area.

Guest Allocation and Final Payment Instructions
You are permitted to bring up to 6 guests to the Conferring Ceremony at the rate of RM200 per person via the Payment Portal. You may like to refer to this link on the registration process if you have not used the Payment Portal for payment. All payments should be made by Friday, 22 May 2026.

Gown Collection Timeline Venue and Documentation
The academic gowns will be available for collection after the results are released. The details are as follows:
Date : 14 May 2026
Time : 10am to 12.30pm, 2.00pm to 4.00pm
Venue : Seminar Room 25A, Level 25, BHL Tower
The size of the gown is selected during the photography session on 8 May 2026.
You are required to show the proof of completing the Tracer Study (Malaysians only) and Alumni Records to collect the academic gowns.
Completion of Tracer Study
Filing the SKPG Survey and Technical Support Guidelines
Malaysian students are required to complete the survey by the Ministry of Higher Education, Sistem Kajian Pengesanan Graduan (SKPG) by 14 May 2026. You are to present the acknowledgement that you have completed the questionnaire, either the hard or the soft copy, to collect the gown.
Under the name of the institution, you will fill it with “RCSI & UCD Malaysia Campus”. Kindly refer to the User Guide, to fill-up the form.

Update of Alumni Information
Finalizing Your Alumni Records for the Conferring Ceremony
You are also required to provide evidence of you completing the Alumni Information by Thursday, 7 May 2026.
Returning of Gowns
Important Instructions for Returning Your Gowns
- The gowns have to be returned by 5.00pm, 7 June 2026 at Wembley 10, St Giles Wembley Penang.
- The latest date to return the academic gown is 3.00pm, Friday, 12 June 2026 at Student Affairs Office, located Level 25, BHL Tower.
- The charge for a non-returned/damaged robe is RM1,000.00.
- You will only collect your final transcripts and English translation of the NUI degrees when you return the gown.
Pre-Conferring Photography
Guidelines for the Official Graduation Photo Shoot
There will be a professional photo shoot scheduled on Friday, 8 May 2026 for all graduating students. The photo will be used as a backdrop during the conferring ceremony. You will receive the edited / unedited soft copies of the photos 3-4 weeks after the photoshoot.
You are required to follow the time allocated to you, to ensure the order of the photo arrangement, is similar to the order for the conferring ceremony.
Each student will be allocated approximately 3-4 minutes for the photoshoot and will have 3 types of photographs taken, with 2 poses for each category:
- Half Body Portrait - wearing gown
- Full Body Portrait - wearing gown, cap, and holding the scroll
- Casual Portrait - wearing your own outfit, prop (freestyle)
Stage Photography
Stage Photography and Class Photo Purchase Details
There will be a professional photographer taking the photo of you with the Chancellor of NUI and class photos on that day. The cost of the photo is RM65.00 for the soft copies.
You will receive the soft copy of the photos on Google Drive, for you to keep and develop the photo accordingly.

Refund of Security Deposit
How to Request Your Security Deposit Refund and Final Payments
The Finance Department will process the first batch of refund by the end of July 2026 for those who completed the Refund Fee form, by Tuesday, 26 May 2026. The next refund for the Caution Fee will take place one month later.
The items, NUI Translation and Photography charges can be deducted with the Security Deposit of RM1,000. You will need to complete the Authorisation Letter for Finance Department to make the necessary arrangements. The cost of the NUI translation is €50.00 and the photography is RM65.00.
